How It Works

From first conversation to final reconciliation

01

Site Sourcing

Share any information relevant to your program. If needed, we’ll ask clarifying questions to identify the cruise lines or resorts that fit best. As quotes come in, we’ll walk you through the proposals and explain what sets each brand apart, function space, dining, entertainment, so you can decide which options to move forward with.

First conversation · Tailored supplier outreach · Side-by-side comparison · A confident decision

02

Negotiation

We negotiate the details that matter for your program. Rates, upgrades, onboard or resort credits, payment terms, cancellation flexibility. Twenty-six years of relationships means real leverage at the negotiating table.

Contracting

Cruise and resort contracts contain industry-specific language most planners don’t encounter elsewhere. We are with you every step of the way. For group bookings, the contract can be signed directly between you and the cruise line or resort, or through Buy the Sea, whichever works better for your organization. For a full-ship or full-property buyout, the contract is always signed directly between you and the supplier.

Operations

Once the contract is signed, our operations team serves as the liaison between your events staff and the supplier. It’s up to you how involved we are, hand it to us from the start, work with the supplier directly, or bring us in partway if you change your mind. We manage scheduling, meeting space coordination, program logistics, ongoing communication with the supplier and final reconciliation. For larger groups and buyouts, we can travel with you on-site, working behind the scenes so you stay focused on your program.

Timeline

There’s no wrong time to start planning

Below are recommendations from our experience, not fixed rules. Planning closer in? We’re built for that too, and we’ll find the best fit for your program.

Full Buyout
18–24 Months

This window offers the most availability, and for charters, the greatest customized itinerary flexibility.

Group Space
12–18 Months

Most booking windows open around 18 months out, when the widest allotment of cabin or room categories is available to lock in.

Inside 12 Months
Plenty of Time

Shorter timelines are increasingly common. We’ve placed programs with as little as four weeks’ notice. Wherever you’re starting from, we’ll find the right option for your program.

Now that you know how it works, tell us about your program.
